    Prepare Inspection Tools

    Gather inspection checklist or scoring form, camera/phone for documenting deficiencies, flashlight for checking under furniture and behind fixtures, and a white tissue or cloth for surface dust tests. Review the cleaning scope of work for this specific location before beginning.

    Inspect Entrances & Lobbies Decision

    Check glass doors for smudges and fingerprints. Verify floors are clean and dry. Check furniture for visible dust. Inspect trash cans (should be empty with fresh liners). Check high-touch surfaces (door handles, elevator buttons). Rate the area.

    Inspect Restrooms Decision

    Check toilets and urinals for cleanliness (inside bowl and exterior). Verify supplies are fully stocked (paper, soap). Test sinks and faucets for residue. Check mirrors for streaks. Inspect floors including corners and behind fixtures. Check for odors. Verify wet floor signs removed (floors should be dry). Rate each sub-area.

    Inspect Kitchens & Break Rooms Decision

    Check countertops, sinks, and table surfaces. Verify appliance surfaces are clean (microwave, refrigerator handle). Inspect floor especially under tables and near trash area. Check trash and recycling bins (empty, fresh liners). Rate the area.

    Inspect Offices & Common Areas Decision

    Perform random desk-side trash can checks (should be empty with fresh liner). Run white tissue across a horizontal surface to check for dust residue (note: this tests for visible dust only, not bacterial contamination or sanitation levels). Check vacuum patterns on carpet for consistent coverage. Verify shared equipment areas are clean. Rate the area.

    Document Findings & Score

    Photograph any deficiencies found. Record scores for each area inspected. Calculate overall quality score. Widely used industry benchmarks on a 5-point scale: 4.0+ = Excellent, 3.0-3.9 = Acceptable, below 3.0 = Needs Rework β€” adjust thresholds to match your service contract requirements. If overall score is below your acceptable threshold, create a specific re-work list with the exact items and locations that need attention.

    Communicate Results Decision

    Share inspection results with cleaning crew lead promptly. Discuss any specific deficiencies and required corrective actions. Recognize excellent work β€” positive feedback improves retention. File the inspection report for your records and provide to client if requested or required by contract.
